Cancellation Policy

Cancellation & No-Show Policy
Monarch values strong rapport and consistent care. Because we keep caseloads limited and reserve your appointment time exclusively for you, we maintain a firm cancellation policy to protect access and clinical scheduling.

Agreement to Policy
By booking services and/or signing the Client Intake Forms, you acknowledge and agree to our fees, booking terms, cancellation policy, and confidentiality/disclosure agreements. Clients receive these policies prior to booking via phone, email, and/or the intake package.

Rescheduling & Cancellation Fees

Reschedule requests: Please provide at least 72 hours’ notice to avoid any cancellation fee.

Cancelled within 25–48 hours: $110 non-refundable cancellation fee for standard sessions.

Extended, double, or EMDR sessions: 48 hours or less = full session fee.

Cancelled within 0–25 hours or No-Show: Full session fee will be charged.
Late Cancellations / Attendance Concerns

If a client late cancels or no-shows 3 times (at any point in service), the file may be closed until the client is ready to continue consistently.

For new clients (generally fewer than 2–3 sessions), a no-show without notice may result in the file being closed until the client contacts the clinic to discuss next steps.
Payment & Credit Card Authorization
A credit card authorization is kept on file. Fees will be processed in accordance with the policy and timelines above.
Insurance / Contract Clients
For contract or insurance-based services, cancellations or no-shows 48 hours or less may be treated as a billable session by the insurer and deducted from your allotted hours (as determined by the carrier and program requirements).
Emergency Exceptions
We understand emergencies can occur. Emergency exceptions are rare and at the clinic’s discretion, and the clinic determines what constitutes an emergency cancellation.
Appointment Confirmations & Reminders
Clients receive booking confirmations via email/text/SMS. As a courtesy, we send 24-hour reminders. If you prefer reminders at 48 or 72 hours, please let us know. Please check spam/junk folders and ensure your contact details are up to date. Ultimately, it is the client’s responsibility to track appointment dates and times.
